How the Process Works The vendor relationship process typically begins with the creation of a request for a proposal or the request for a quote (RFP/RFQ). The interaction can also begin with other documents or advertisements requesting vendor respond. In all cases, the client is able to objectively evaluate the capabilities and resources of the vendor. When the best vendor for the task is selected, a contract negotiation process begins. The contract outlines all of the performance guidelines and expectations to which a vendor will be legally bound to adhere. I recently moved into a new house and was doing the requisite purging of years of accumulated stuff, including a few boxes of old work files. One of the dusty files was a project related to developing a vendor performance scorecard when I worked at Lands' End around 20 years ago. At the time, we felt like we were behind the curve — that good vendor performance reporting and scorecarding was standard for all retailers. It turns out we were wrong. As I work with customers and prospects at SPI, I frequently encounter retailers of all sizes (large and small) and types (store retailers, direct-to-customer retailers) lacking reliable vendor performance reporting. Frankly, it's surprising in today's data-rich environment. Given the importance of dependable, quality suppliers for retail success, it's important for all retailers to address this. At a minimum, you should be providing reporting for on-time delivery and receipt accuracy. Aiming higher, the best vendor scorecard I've seen included the following: on-time delivery; PO and ASN accuracy; chargeback amounts by chargeback classification; fill rate or in-stock rate; and final gross margin.

If only one vendor template exists, then new vendor cards always use that template. To create a new vendor card Choose the icon, enter Vendors, and then choose the related link. On the Vendors page, Choose New. If more than one vendor template exists, then a page opens from which you can select a vendor template. In that case, follow the next two steps. On the Select a template for a new vendor page, choose the template that you want to use for the new vendor card. Choose the OK button. A new vendor card opens with some fields filled with information from the template. Proceed to fill or change fields on the vendor card as necessary. Hover over a field to read a short description. If you do not know the invoicing address that will be used for every invoice from a vendor, do not fill in the Vendor No. field. Instead, choose the pay-to vendor number after you have set up a purchase quote, order, or invoice header. The vendor is now registered, and the vendor card is ready to be used on purchase documents.
